At CAJ we value and respect your right to privacy and protecting your personal information. The following notice describes how we collect and use personal data.
What types of personal data do we collect?
The types of data we collect may include:
- Personal information: name, ID details, passport details, date of birth, marital status, gender and nationalities
- Contact information: address, telephone numbers and email
- Academic records
- Employment information
- Billing information
- Health information
- Images, photographs, videos
- For staff only (in addition to above):
- Residence/visa status
- Background check
- My Number
- Bank information
How do we use your data?
We use personal data for the operation and administration of the school. These purposes may include:
- Program-related purposes (admission assessment, registration, communication, references, extracurricular activities, pastoral care)
- Employment-related purposes (appointment, payroll, leave and benefit administration, staff development)
- Google login authentication and access to Google Classroom
- Compliance with Japanese legal and regulatory requirements
- Maintaining a historic record of the school
- Promoting and marketing purposes
- Alumni communications
- Health services
CAJ shares appropriate personal information with third-party companies, some of whom are overseas, to extend and enhance our program. Before working with a third party we carefully review their privacy policy to ensure they are in line with Japanese laws.
CAJ does not use personal or pseudonymized data for the purpose of profiling.
How do we retain and protect your personal data?
We retain personal data only for as long as necessary or as required by law.
All personal information submitted via CAJ’s website, portals and online forms is encrypted via SSL (Secure Sockets Layer). Servers that store personally identifiable information are in a secure environment. All personal data you provide to the school–whether digital or analog–is stored securely, and its access is restricted to authorized personnel only.
Staff are trained in how to use, store, and delete personal data and are required to complete a data privacy audit in accordance with policy at the end of each academic year.
Can families opt out?
The personal data we collect is necessary for maintaining our program. To completely opt out of personal data collection would require the family to withdraw from CAJ. Short of this, you have the right to request access to and correct your personal data.
Parents can opt out of having their child’s photos or videos used in promotional publications. Please reach out to staff at
